Use These Handy yet Polite Email Response Templates to Save Time

No matter how busy you are with your work, there are always several (or many) emails waiting to be answered. You know you have to answer — otherwise you’ll get a terrible follow-up message that only clogs up your inbox even more. Even sending the simplest, repetitive email wastes precious brain resources. If only there was a way to make this process a little easier.

Fortunately, there is. From the Recomendo newsletter, we learned about a site called Canned Emails, which does exactly what you think it does: provides you with pre-written polite responses for many professional and personal occasions. Simply click on the subject of your email, choosing from a list of things like “need advice”, “apologize for problem / error”, “follow-up”, “not interested, sorry” and “task received, I’ll complete it later”, among others.

For example, if you click “sorry for problem / error”, the site will generate this email:

I just saw your letter. Ouch!

I am very sorry that you are having problems.

I am going to find out what is going on and I will contact you.

We will try to fix this as soon as possible.

Until then, let me know if there is anything I can do to make you an unforgettable experience.

There is even an option “to part with someone”:

I know e-mailing this is inconsiderate for me, but I have something important to tell you, and I find it difficult to say it personally.

I think we should see other people.

This is a life decision that I had to make for myself. Please do not take it upon yourself, do not wonder what you could have done differently, and do not think that it makes you less like a human being.

You are truly a great person and I truly enjoyed the time we spent together. I do not regret at all that we are together. This is a decision I need to make, and I’m sorry if it offends you. I just need to do this.
