Organize and Share Your Vacation With This Travel Planning Table

Traveling is challenging. To make things easier and help you connect with your loved ones, we’ve created a detailed travel information sheet that you can edit, print, and share to keep everyone updated.

We’ve created this spreadsheet with separate tabs for all the information you might need to keep track of when you travel. You can enter your information in separate tabs and then view the most relevant information in the main Summary tab. To use this, follow the link above (or the source below) to view the spreadsheet and click “Use this template” in the upper right corner to create a copy in your Google Drive.

If you prefer the good old pen and paper , we’ve reshaped each sheet to roughly fit one sheet of paper. Select Fit to Width and Portrait when printing. If you are having trouble placing them on the same page, you can also select only the cells you want to print and choose to print “Selected” instead of “Current Sheet”.

Here’s a quick overview of the various tabs and their functions:

Lodging

Here you can enter the name, address and confirmation number of your hotel. We’ve also left room for your check-in and check-out dates, as well as useful things like Wi-Fi password if needed.

Flights

Here you can add information about your flights, including the airline you are flying with, departure and arrival times, flight numbers and airports you intend to visit.

Packing list

This tab has a list of packaging templates that you can use to leave nothing behind. We’ve included a few examples of items that you will need to bring with you in the template, as well as separate columns to mark the various items as completed and accounted for.

Transport

On this tab, you can arrange your trip upon arrival at your destination. It includes a place to book cars and information about the agency if you are renting, or information about trains, metro and buses if you will be using public transport. There’s also extra space at the end, which is a great spot to mark useful spots like the nearest ATM, convenience store, or restaurants you might need.

Schedule

This tab is especially useful if you are sharing it with friends or family at home. Here you can create a detailed itinerary showing where you will be and what you will be doing while you are away.

Contact Information

Here you can place all the most important contact information of the people with whom you need to keep in touch. The first four lines will automatically appear on the Summary tab, so be sure to add your emergency contact information here.

Home care

Before leaving home for a long time, you need to take care of several things at home. Here you can add phone numbers and contact information for utilities, nurseries and nurseries, or anyone else you need to agree with before leaving.

international

Leaving the country has its own set of problems. This tab has space for the address and phone number of your local passport agency, any time frames you might need, and the documents you will need to submit. You can also save links here for information on local currency or cultural customs while you explore the place you want to visit.

Why use this instead of apps like TripIt or Google Now?

Our regular readers know that we also recommend using TripIt when traveling. And Google Now users will likely see most of this information on their phones by now. Both of these apps are still great and we still recommend them, but this sheet is more versatile in how you use it. It contains much more information, is easy to print, and is much easier to share with friends, family, and travel partners (and update when your plans change).

With this fact sheet, you can send one link to everyone you travel with, as well as all loved ones who stay at home, and any changes you make will be instantly available to them. It will probably still be a good idea for travel planners to use the apps mentioned above for your personal organization, but this spreadsheet is a handy one-stop resource for all the information you’ll ever need, so everyone can be on the same page.
